Service & Install Coordinator

We are looking for a proactive and organised Service & Install Coordinator to join our growing team.

Purpose of The Role

The Service & Install Coordinator is responsible for providing administrative and operational support, ensuring engineers have everything required to complete service, fault-finding and installation work efficiently.

The role is responsible for managing customer enquiries, processing service and installation documentation, ordering and controlling stock, preparing job packs and equipment, and maintaining accurate records. The Service & Install Coordinator plays a key role in ensuring engineers are fully equipped for each job while supporting excellent customer service and maintaining compliance with company procedures.

  • Generate new business through cold calling, canvassing and self-sourced leads
  • Attend client sites to carry out surveys and identify system requirements
  • Prepare quotations, proposals and manage the full sales process.
  • Manage the full sales process from initial contact through to handover

Key Responsibilities

Customer Service
  • Act as the first point of contact for incoming customer telephone calls and emails.
  • Log customer enquiries and requests accurately onto the company system.
  • Provide customers with updates on existing jobs where appropriate.
  • Maintain professional and courteous communication with customers at all times.
Service & Install Administration
  • Create and maintain accurate records for service, fault and installation jobs.
  • Prepare all documentation required for engineers before attending site, including RAMS.
  • Ensure engineers have the correct paperwork, equipment, parts and consumables for each allocated job.
  • Maintain accurate service records and filing systems.
  • Update internal systems promptly with relevant information.
  • Support with general administrative tasks.
Stock and Materials Management
  • Order parts, consumables and equipment required for upcoming jobs.
  • Prepare job boxes and engineer kits for service, fault and installation work.
  • Receive and check deliveries against purchase orders.
  • Maintain accurate stock records and inventory levels.
  • Carry out regular stock checks.
  • Ensure stock is stored safely, correctly labelled and easily accessible.
  • Monitor stock usage and proactively replenish items to avoid shortages.
  • Liaise with suppliers regarding orders, deliveries and returns where required.
Operational Support
  • Work closely with engineers to ensure all required parts and equipment are available before they attend site.
  • Identify any shortages or potential issues in advance and communicate these promptly.
  • Assist with purchasing activities and supplier communications.
  • Support continuous improvements.
General Responsibilities
  • Comply with all company policies and procedures.
  • Follow Health & Safety requirements at all times.
  • Maintain confidentiality of company and customer information.
  • Ensure all administrative records are accurate and audit-ready.
  • Undertake any other duties appropriate to the role.
Person Specification
Essential Skills and Experience
  • Experience working within an engineering, maintenance or service environment.
  • Experience of stock control, purchasing or inventory management.
  • Familiarity with service management or job management software.
  • Previous experience in an administrative, service support or customer service role.
  • Excellent organisational skills with strong attention to detail.
  • Good communication and interpersonal skills.
  • Ability to prioritise workload and meet deadlines.
  • Competent in Microsoft Office, particularly Outlook, Excel and Word.
  • Experience maintaining accurate records.
  • Ability to work independently and as part of a team.

Account & Project Manager

The Account & Projects Manager is responsible for ensuring the successful delivery of customer projects from commencement through to completion whilst maintaining exceptional relationships with both new and existing customers.

The role bridges the gap between Sales, Operations and Engineering by overseeing project delivery, supporting engineers, coordinating materials and suppliers, monitoring quality, and ensuring customers receive an outstanding experience throughout every stage of their journey with Full Circle Security Systems Limited.

The successful candidate will regularly visit customer sites, oversee installation progress, identify opportunities to improve service delivery, and ensure projects are completed on time, within budget and to the highest quality standards.

Key Responsibilities

Customer Relationship Management
  • Act as the primary point of contact for existing customers.
  • Build and maintain long-term relationships with customers.
  • Conduct regular customer review meetings and site visits.
  • Ensure customers receive excellent service throughout the duration of their contract.
  • Resolve customer concerns promptly and professionally.
  • Identify opportunities for additional works, system upgrades and maintenance agreements.
  • Assist with onboarding new customers following contract award.
  • Carry out post-installation customer handovers.
  • Conduct customer satisfaction visits following major installations.

Project & Installation Management
  • Monitor the progress of installation projects from start to completion.

Engineer Support

  • Confirm engineers have the correct materials and stock required for each project.
  • Monitor engineer progress throughout installations.
  • Provide operational support where additional labour or resources are required.
  • Visit engineers on site to assist with resolving operational issues.
  • Ensure engineers understand customer expectations and project requirements.
  • Identify training requirements observed during site visits and communicate recommendations to management.
  • Ensure engineers follow company procedures and complete work to the required standards.
Procurement & Supplier Management
  • Ensure all project materials are ordered in sufficient time to meet installation schedules.
  • Obtain competitive quotations from suppliers.
  • Negotiate pricing where appropriate to maximise project profitability.
  • Monitor supplier lead times and chase outstanding deliveries.
  • Work closely with the stores function to ensure stock availability.
  • Review supplier performance, delivery times and product quality.
  • Identify opportunities to improve purchasing efficiency and reduce costs.
Quality Assurance
  • Carry out quality assurance inspections during and following installations.
  • Inspect completed works to ensure compliance with company standards and relevant regulations.
  • Produce snagging lists where necessary and ensure remedial works are completed promptly.
  • Ensure all installation documentation is completed accurately.
  • Review engineers' paperwork before projects are closed.
  • Ensure photographs, certificates and commissioning documentation are complete.
  • Support continuous improvement by identifying recurring installation issues.
Operational Coordination
  • Work closely with scheduling and operations to ensure efficient project delivery.
  • Attend internal planning meetings.
  • Provide regular progress updates to senior management.
  • Monitor project costs and identify potential overspends.

Fire & Security Engineer

We’re looking for a confident, experienced Fire & Security Engineer with at least 3 years’ hands-on experience in fault finding, maintenance, and installation.
